The information we collect about visitors to our offices

We have public areas and staff areas at our offices. We have a variety of visitors at our offices who may need to access staff areas, including:

  • customers
  • suppliers and tradespeople
  • external training providers
  • job applicants; and
  • stakeholders

If your visit is planned, we’ll send your name and visit information to reception (or, at our offices in the Brynsworthy Environment Centre, to the relevant member of staff) before your visit – so that we can ensure a visitor badge is ready for your arrival (visitor badges that are issued are anonymous and simply identify you as a visitor).

If you arrive without an appointment but your visit requires you to access our premises, you will be given a generic visitor badge.

You must wear a pass throughout your visit.

We ask all visitors to sign in and out at our reception areas and we may ask you to show a form of ID. The ID is for verification purposes only, we don’t record this information.

Your name (and, where relevant, your business and car registration) and your times in and out of our offices are recorded. Closed-circuit television (CCTV) operates outside the building for security purposes. The information is not viewed by us as a matter of course but may be viewed by us where an incident occurs which we need to review.

The purpose for processing this information is for security and safety reasons. The legal basis we rely on to process your personal data is article 6(1)(f) of the GDPR, which allows us to process personal data when its necessary for the purposes of our legitimate interests.

We have Wi-Fi on site for the use of staff and visitors. We’ll provide you with the address and password.

We record the device address and will automatically allocate you an IP address whilst on site. We also log traffic information in the form of sites visited, duration and date sent/received.

We don’t ask you to agree to terms, just to the fact that we have no responsibility or control over your use of the internet while you are on site, and we don’t ask you to provide any of your information to get this service.

Where you have visited our offices we may contact you, using any email address you have provided to us, to ask you about your experience via a customer satisfaction survey.  Such survey is optional and you do not need to respond but, if you do, we will use your responses to consider suggestions and improve the experience of customers that attend our offices.   The survey can be completed anonymously.
